Gratitude is Worth the Time

Sure, as we put on a women’s retreat, we are all working together to serve the Lord.  There are those who rightly say that in serving the Lord we shouldn’t expect the praise or gratitude of men.  However, as women’s leaders, my observation has been that expressing sincere appreciation for someone’s time and effort creates a sense of unity and loyalty among those who come alongside to help in the ministry.  Sometimes we may not even realize the time invested or the sacrifices someone has made in order to be involved.

I was thinking of an example from our recent retreat.  I am “in charge” of the skit at the retreat, and need numerous volunteer helpers.  I have one busy  mom of five who always volunteers to be involved in our retreat skits.  She not only enjoys participating as an “actress,” but she also volunteers to make (by hand) beautiful signs when they are needed as props in the skits.  Because the signs are creative and high quality, I know that she spends more than a few hours late at night after the little ones are in bed making these signs.  Only she really knows the time and money that were invested in these signs.

For the most part, those who watch the skit just take for granted that those signs are part of all that makes up the skit.  That is as it should be–props should enhance the skit rather than take attention away from the skit or its message.  No one ever asks me who created the signs because, as props, they have only enhanced the message of the skit.  I may hear from many that they were blessed by the skit; but those “behind-the-scenes” workers may never hear those praises.  So if I don’t express appreciation to them, who will?

Expressing thanks requires a relatively small effort, yet it can reap big benefits within the ministry.  It can let someone know that they are part of a team, that God has used them and their gifts to bless the body, and encourage them to step out to serve when another opportunity comes their way at another time.

A Hospitality Table

I’m not sure when we started this, but the presence of a “hospitality table” has become an amenity our ladies have come to expect at our retreats.  This table is stocked with a little bit of everything–anything one could need at a retreat–or forget to bring from home.   The table is staffed during all main sessions and is located in the back of the room, convenient–yet unobtrusive.

At the table, a variety of items may be found.  This is a list of suggested items for the hospitality table:

  • Advil/Tylenol
  • Feminine products
  • Protein bars/Snack bars
  • Chocolate/Gummy bears
  • Mints
  • Needle/thread
  • Cough drops
  • Small water bottles
  • Cheap toothbrushes/toothpaste
  • Small bottles of shampoo
  • Shawls or sweaters (available to be borrowed)

A lot of ladies make use of the hospitality table and appreciate the availability of these items.  Besides the candy, the Advil and Tylenol are most requested.  We have found that the hospitality table becomes a gathering spot during breaks and free moments as ladies grab a piece of candy and chat.  It’s true that most of these items could be purchased if the hotel has a tiny convenience store or if there is a store nearby.  But it is just another service we provide for our ladies in our efforts to take care of their every need at the retreat.

Secret Angels

An “angel” is a messenger, and we have a group of ladies designated as “secret angels” at every retreat.  These ladies “secretly” deliver treats and remembrances to all of the ladies in attendance.  When at a hotel, this means using a time when the meetings are not in session to put a treat or retreat remembrance at every seat.  When we were much smaller and meeting in a retreat center where this was possible, it might have meant putting a mint or a chocolate treat on each lady’s pillow.

These special deliveries are done several times during a retreat weekend.  One time, the secret angel will leave a sweet treat or treat bag.  Later during the weekend, the secret angel may hand out the retreat bookmark or a fancy chocolate.  Prior to the final session, the secret angels deliver the retreat remembrances.

Yes, the women could just pick these up as they walk in to the session, and we wouldn’t need secret angels.  But this is a fun way to involve a couple women in serving behind the scenes.  And discovering what awaits them each session is a sweet surprise for our ladies.

Assigning a Table Leader to Encourage Fellowship

At most of our women’s events that involve women eating and fellowshipping around a table, we assign a “table leader” for each table.  This person is friendly and good at drawing people into the group conversation.  Her job is to do her best to engage everyone at the table in conversation.  This is not always easy, but she attempts to make sure that every woman attending the event feels included.  In order to get everyone engaged, the table leader may also need to tactfully and gently keep one person from monopolizing the conversation around the table.

A simple beginning is by having each woman at the table introduce herself and tell a little something about herself.  We try to facilitate this by using “ice breaker” questions.  Sometimes these ice breaker questions are introduced by the emcee of the event; other times each table determines their own.  But the goal is always to draw people into conversation, help the new women or the more reserved personalities to get acquainted and feel welcome, and to encourage fellowship.

A Shelf of Remembrance

These are snapshots of my “shelf of remembrance.”  What are these little objects adorning my shelf?  They are small remembrance gifts which were given out at various women’s retreats and events over the years.  Each one is a special reminder of the theme for the specific event or retreat.  They are simple and very inexpensive, but precious reminders none the less of those special times with the Lord.  Most of the time, the theme of the retreat and even the theme verse are noted somewhere on the remembrance.  Other remembrances not sitting on my shelf have included magnets and bookmarks, and they can be found elsewhere in my house!

Women love being pampered at retreats, and taking away a little remembrance is just one of the ways that we try to make the retreats special for them.  Sometimes the gifts are something small that we have purchased; more often, it is something that requires some crafting and/or assembly.  Our hope is that our little gift will be something that will bring back special memories of the retreat.
